Job Description

Main responsibilities/accountabilities:
1. Activity set up and support:
Support the project lead to set-up a project folder and detailed timelines and project plans for projects within your remit
Delivery of specified tasks within the project plan
Attend team meetings and take and share notes on the same day
Complete recruitment paperwork and then input onto the system and inform the recruitment team when complete
Keep the purchase tracker for assigned projects up to date. Flag any overspend to the wider team immediately
Ensure that appropriate site visits and Health and safety risk assessments are completed by the project lead and stored effectively
Source catering and entertainment as required and make recommendations to AM
Work with Printer to produce any materials required for the event
2. General duties:
Process all purchase orders and invoices to agreed SLAs
Monitor shared in-box and ensure all mails receive a timely response
3. Logistics and Warehousing:
Joint ownership of the day to day relationship with our L and D supplier
Keep on track of all items stored within the facility and their condition, flagging any issues with the wider team
4. Delegate support:
Set up delegate registration and create attendee tracker
Arrange travel and accommodation for delegates
Collate event evaluation data and share with AM
5. Activation Team support:
Process onsite event activation team expenses and wages within agreed timeframes
Ensure that all relevant kit and product is distributed and asset management is completed in support of service delivery
Ensure activation kit for the event team is fit for purpose
6. Other:
Networking - attend and seek out industry/supplier/Omnicom showcases and events and network to establish Hyphen and yourself within the wider industry
Market Knowledge - develop and maintain a thorough and detailed market, wider industry and competitor awareness
Other duties as required which are reasonably within the scope
